The Working Time Regulations 1998

The working time regulations were introduced in 1998 as a health and safety measure. Average weekly working hours are limited to 48 hours (normally calculated over a 17 week period). Employers are required to take all reasonable steps to ensure that the limits to working times are not exceeded. This includes inquiring whether a person is working elsewhere. Hwb Assistant – Maternity Cover
Salary: £23,130 (14 hours Pro Rata)

Contract Type: Temporary for Maternity Cover for 1 year approximately - Workplace based
Hours & working Pattern: 14 hours (Part Time) - Thursday and Friday - All team members must work flexibly on occasions to meet the needs of the Charity and the people we support
Accountable to: Assistant Support Service Manager
Purpose of the post: Our Hwb Assistants are pivotal in ensuring that all people contacting Cyfannol find us friendly, helpful and professional. With an Assistant based in each Hwb, you will be part of a team, working together to ensure that people reaching out to Cyfannol for support, due to experiences of Violence Against Women, Domestic Abuse or sexual violence (VAWDASV) have an accessible, seamless and compassionate experience. You will also provide a valuable administrative service to team members and help ensure that our Hwb’s are well maintained, organised and safe.

Hwb responsibilities:
Collaborate with team members to deliver high quality, specialist, trauma informed VAWDASV services.

Provide a warm welcome and a responsive service to all people visiting or contacting the Hwb whether in person/phone/email.

Provide professional visitors and contractors the information they need, redirecting them or escorting them to where they need to be in the building

Provide for the immediate comfort needs of women visiting us in person and seeking our support (for example offer refreshments, toilets, toys and conversation whilst they wait)

Provide initial, low-level support to women seeking our services, whether in person/phone/email this may include:

Finding out what we can do to help.

Offering information on all our services (including those in other Hwb areas)

Offering information about and signposting to external services and community resources.

Completing and submitted referral forms with the person.

Booking appointments with a Hwb Support Worker or other team member, when a full needs assessment is required

Contribute to ensuring the women we support have regular opportunities to provide feedback to improve services and experience.

Provide a tidy, organised and informative Hwb (in particular – manage the information boards, leaflet stands and refreshment areas)

Assist in setting up the assessment, counselling and trainings room ready for appointments, meetings, training or events.

Manage incoming donations, in line with current needs and agreed processes.

Provide women with encouragement to access the Hwb’s resources, including our donations of clothes, toiletries and food, and where available washing machines and shower facilities.

Assist the support workers when required, with for example MARAC research or managing waiting lists.

Administrative responsibilities
Collaborate and keep in touch with all Cyfannol’s Hwb Assistant’s and Hwb Support Workers to ensure consistency of approach, sharing of information and resources, daily peer support, phone cover, and wider cover during absences.

Manage the in-coming/out-going post.

Manage external requests for room booking.

Manage the stock control related to stationery, consumables, cleaning products and other items/equipment.

Assist Cyfannol’s Domestic Assistant/external cleaners by for example, dealing with remedial cleaning when they are not available and putting on the washing machine at the end of the day.

Assist team members when requested with general administrative support (such as photocopying, bookings, updating our Case Management and other systems).

Health & Safety
Collaborate with team members to ensure safe and effective running of the services in line with health and safety requirements.

Assist the Facilities Coordinator as directed with routine checks, reporting of repairs, raising security issues, managing contractor visits, and maintaining related records.

Maintain the signing in and out procedures for all visitors.

Provide Fire Warden services
